How to upload a bank statement to QuickBooks Online
Checked against QuickBooks Online's own help pages in October 2026. Sources are at the end.
QuickBooks Online uploads bank transactions from a CSV, QBO, QFX or OFX file. The CSV needs three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit), must be 350 KB or less, and can hold up to 1,000 lines per upload. This page covers the format, the upload steps and the fixes for the usual errors.
Can QuickBooks read the PDF itself?
In the US, yes. QuickBooks Online now accepts an account statement as a PDF or image, reads it with its own AI and shows a side-by-side review before saving. If that works for your statement, it's the quickest route. QuickBooks' UK help page for manual uploads covers QBO and CSV files.
Converting the PDF first is still worth it when:
- you want the statement balance-checked before anything goes into your books: we compare every transaction with the opening, closing and running balances printed on the statement;
- you also need the statement in Excel, or sorted into Schedule C or Self Assessment categories for your tax return;
- you're sending the same statements to Xero, FreeAgent or an accountant.
What QuickBooks needs in the file
| Format | Columns | Signs |
|---|---|---|
| 3-column | Date, Description, Amount | Money out negative (-100.00), money in positive |
| 4-column | Date, Description, Credit, Debit | Each amount in its own column, no minus signs |
- English, 350 KB or less, and up to 1,000 lines per upload. Split anything bigger into shorter date ranges.
- All dates in one format. If a bank adds the day of the week ("20/11/2018 TUE"), split it into its own column.
- Cells that would hold only 0 are left blank, and the Credit and Debit headings don't include the word "amount".
- If an upload fails, QuickBooks' help also suggests removing numbers from the Description column.
Turn a PDF statement into a QuickBooks file
Upload the PDF on our converter, check the balance result, then download the QuickBooks file. It is the 3-column format, with money out negative and dates in the statement's own format (MM/DD/YYYY for US statements, DD/MM/YYYY for UK ones). These are the first rows from a sample US statement:
Date,Description,Amount
10/02/2025,"Card Purchase 10/01 Home Depot #4512 Austin TX Card 1234",-184.32
10/03/2025,"Zelle Payment From John Client Inv 2041",850.00
10/06/2025,"Card Purchase 10/04 Shell Oil 57442 Austin TX Card 1234",-52.10
One statement is almost always well under the 1,000-line limit. If you convert a very long one, split the file before uploading.
Upload it into QuickBooks Online
- Go to All apps, then Accounting, then Bank transactions.
- If there's a tile for the account, select it.
- Open the Link account dropdown and select Upload from file. If the account isn't connected to online banking, select Upload from file or upload transactions manually.
- Drag and drop or select the file, then select Continue.
- Choose the QuickBooks account to upload into, or Add new to create one, then Continue.
- Tell QuickBooks about the header row and date format, match the columns (Date, Description, Amount), then Continue.
- Check that money in and money out show the right way round. If they're all reversed, select Reverse all values.
- Select the transactions to import, then Continue, Yes and Done.
The transactions then wait on the Bank transactions page for you to categorise or match, and you can reconcile the account against the statement.
QuickBooks Sole Trader (UK) works differently: go to Transactions, then Bank transactions, open New transaction and select Upload bank statement. Its limit is 500 lines per upload.
Credit card statements
Upload a card statement into the credit card account, not a bank account, with purchases negative and payments positive. There's a separate guide: how to upload a credit card statement to QuickBooks Online.
Common problems
- Duplicates. QuickBooks suggests starting each upload the day after the last transaction already in the account. For a new account, start from its opening balance date.
- Day and month swapped. Pick the date format that matches the file during the upload. Our UK files are DD/MM/YYYY and our US files are MM/DD/YYYY.
- Payments show as deposits and deposits as payments. The signs are reversed. Use Reverse all values while uploading.
- File too big. Over 350 KB or 1,000 lines: split it by date.
- Edited on a Mac. QuickBooks says Mac users must save the file as a Windows CSV. In Excel for Mac that's Windows Comma Separated (.csv). Our file already uses Windows line endings, so the simplest fix is to upload it as it is, without re-saving.
